Dearest writers,

Some of you, incredibly, are already done with your fic, so we figured we’d better go over the guidelines of submission before they come back from beta. Anyone planning to submit MUST READ THIS.

1) Please remember when you submit and when you ask us questions to include your LJ name or pen name (the one you signed up with - and if you change your LJ or name mid-fest TELL US) either in the subject or in your email. We have you sorted on all our master lists by your LJ name or pen name, not by your email address, which is normally light-years from your LJ name or pen name.

2) On that vein, when you email/submit your fic to us (via baekyeolexchange@gmail.com), PLEASE format your email as such:

Subject: [FINAL SUBMISSION] (your username) for (recipient's username)
or
Subject: [EXTENSION REQUEST] (your username)
Subject: [DROP-OUT] (your username) we don’t want to see this one /looks stern/
etc.

When you submit your document, you may title it whatever you like, but please add your LJ name or pen name, also. Example: Breakfast by baeconandeggs.doc, or Breakfast by baeconandeggs.docx, or Breakfast by baeconandeggs.txt

3) GUIDELINES


a. Minimum word count for a fic is 2000 words.

b. Your fic mustn't be beta read, but is highly advised, because it should be free of spelling and grammar issues. The mods will be proofreading all fics and fix the occasional typo, so please consider to have your fic betaed by one or more beta readers to help lessen our job ;)

c. There are no rating restrictions, but please bear in mind that anything with a "mature" (R to NC-17) rating will be posted under a "mature content" cut and have a "mature content" rating.

d. Fics cannot be part of a series you are writing, or be a sequel/prequel to one of your fics (or anyone else's). It must be a stand-alone work.

e. Please attach your fic to the email as a Word document (.doc or .docx) or .txt


4) Every story must use our uniform header, which is below. Please don't name your beta by name in your author's notes. You may only refer to them by initial or without names, because the readers may know you via your beta readers and it could be a giveaway to your identity. So please don't do it. We'll post your beta-reader's name later after reveals!

When submitting, please copy and paste the following header information into the body of your email and the top of your document.



5) Make sure to include all HTML tags (<i>italic</i>, <b>bold</b>, <u>underline</u>, break between paragraphs, and so on)

Please note: If your LJ account is deleted for any reason, it will be seen as an automatic withdrawal from the fest and your assignment will be reassigned to a pinch-hitter. If you plan to delete it temporarily, email the mods ahead of time and you may be granted a pass depending on the circumstances.

All fics will be posted in baeconandeggs. For entries with word counts more than 10k, we'll post it in our AO3's page.

We hope all of you are doing alright with your writing! It's time to submit your first check-in and let us know how much you have or how far you are from the targeted word count. For the check-in, you must submit at least 750 words or 25% of your complete story if you're writing just one fic, and 500 words for the second fic if you're writing two (or more). All check-ins must be emailed to baekyeolexchange@gmail.com


All documents should be submitted in .doc, .docx or .txt format. Please do not paste the story in the body of the email. And for this check-in, HTML formatting is not yet necessary. Also, if you have any problems meeting the deadline, please inform the mods ASAP.

Please use the format below when submitting:

If you need extension, the email subject would be [EXTENSION REQUEST] (your username)

We realise you can't know exactly, especially without reading the assignment first, but we need to know if we can contact you for a short-notice pinch-hit in case of last minute dropouts. If you can create something in a week or two, that's awesome; if you can't, and need at least a month or more, that's still awesome. So please, be as brutally honest as you can about how long it'd take to fill a request should we need you. <3

- We do NOT operate through LJ PMs. It’s a lot easier for us to interact with participants through email, so please check the email you sign up with regularly.
- NO FLAMING!

GENERAL
- All work should be a stand-alone and MUST not be part of another series or a sequel.
- Do not discuss your prompts or assignments, either the one you gave or the one you got, in public (Twitter, Tumblr, Weibo, LJ, etc.).
- Please add us as friends to receive updates!


SIGN UPS
- November 27 - December 27, for a total of a month
- Please fill out the sign-up form as thoroughly as possible, because it will be for your own benefit. We will not reassign people, so please fill this out carefully! We will not chase people down to get missing information.
- Sign-up form guidelines are at the bottom.


ENTRIES
- Baekhyun/Chanyeol must be the main pairing in all entries.
- Remember to always mind what your recipient does not want in their gift fic. Read your assignment carefully!
- If you have any questions about your assignment, contact the mods, not the recipient! THIS IS ANONYMOUS.
- Entries must be original and be able to stand on their own, not a continuation of something already posted.
- All entries must be rated and given warnings appropriately.


FINAL SUBMISSIONS
- Please do not submit your fic until you are completely satisfied with it. Once a fic is submitted, no revisions will be permitted except for minor changes such as typo corrections or header changes.
- Submit all work to baekyeolexchange@gmail.com
- Mods have the right to remove any disparaging or derogatory content about your work on your Author's Note. You have worked hard, so appreciate your work a bit more!
- If you have a beta-reader, do not list your beta by name in your Author's Note (initial is alright). For the sake of anonymity, we will go back and post it in after reveals.


Fic Requirements
- Please submit in a Word .doc or .docx or .txt format
- The minimum word count is 2,000 words
- Include all html tags in your entry
- We will proofread fics for spelling and grammar

Check-Ins: Really Important!!
Check ins will be conducted through email on a personal basis.

Check In 1: Show us your progress and tell us how much (%) of your fic you think is finished. If someone doesn't respond to this check in, we will email them one more time, and if we hear no response for over a week, they will most likely be replaced by a pinch hitter.


Check In 2: This is a month before deadline, and again, participants will be asked to give estimated percentage finished. If they need an extension, they ask now. If they do not check in, they will be dropped and replaced with a pinch hitter regardless of how much they wrote for check in one (we will only contact them by email once before dropping them). If you check in with us and we think you are not likely to finish by your posting date, we might have to replace you with a pinch hitter.


EXTENSIONS & DROP OUTS
- Granted on a case-by-case basis (email mods at baekyeolexchange@gmail.com)
- Please inform us ASAP if you need to drop out so we can find a pinch hitter for your recipient!
- We reserve the right to drop participants at anytime if we believe they will not finish their fic.
- We reserve the right to remove them from the exchange if we think they are flaking (not taking things seriously, dropping off).
- Participants will be dropped if they do not check in to either Check In post and we have emailed them one time to ask why they did not respond to the Check In post.


SAD BUT TRUE: We are not tyrants, and we do believe in second chances. However, we do not like to feel disrespected. So if a participant has failed to submit an assignment in round one AND now in round two, we will not be too eager to have this person in this exchange again, since they seem to leave us hanging a lot. Therefore, we will probably not allow that person to sign up for any future rounds of this exchange.


POSTING
- We will post all entries anonymously until reveals in our Masterlist
- Don’t post your entry anywhere else on the Internet until after reveals

Squicks/Triggers, as defined for this exchange: These things give you a range of reactions when encountering them in fic, including leaving you feeling ill, haunting you for hours or days, making you want to stop reading the fic altogether, or generally affecting you in such a negative way as to leave you distraught or traumatized- These are NOT things you can just ignore and skip over with no harm done.
